How a tenant reports a repair
The tenant sends a WhatsApp message to Voxa's shared repairs number, with a photo if they have one. Alex matches them by the mobile number on their tenant record, so the report lands against the right property.
A message from a number that is not on a tenant record is not filed as a job, so keep tenants' mobile numbers up to date.
Alex turns each message into a job
Alex reads the report, works out the trade and how urgent it is, and files it as a job in your inbox. Your team sees every open repair in one queue, can assign it and can see what is waiting on whom.
Your team can also log a repair itself, for example one a tenant phoned in, and it joins the same queue.
Your contractors first, and your approval
When your team starts sourcing, Alex asks the contractors in your own book first, by text message and email, and chases them for a quote and a time.
Nothing is booked unless a person approves it, or a rule your team has set allows it. Where you have agreed rates with a contractor, each quote shows how it sits against them.
What is sealed in the record, and what is not yet
When a job is closed, it is sealed into the property's record: hash-chained to the entry before it and externally timestamped.
Triage, contractor messages and quotes are not sealed into the record yet.
Good to know before you start
- UK tenants message Voxa's shared WhatsApp number. A WhatsApp number of your agency's own is not available yet.
- Tenants report on WhatsApp for now. There is no tenant email, text or phone line yet.
- Agencies in Ireland can join as a pilot, but the shared WhatsApp number is for UK tenants only.
